How to use INCILOG

INCILOG works with two roles: Administrator (sets up the facility, the team, and oversees incidents) and Member (reports and handles incidents day to day). Pick your profile to follow the step-by-step guide.

🏢 Administrator path

Set up and run your facility

As an Administrator, you build your facility's structure and your team, and you get full access to incident management.

Create your account

On the welcome screen, tap "Create one"

Enter your name, your email, and a password, then submit.

A verification code is sent to your email: enter it on the next screen to activate your account.

Choosing the Administrator or Member role
2

Choose "I manage a facility"

On first login, on the "How will you use INCILOG?" screen

Tap the "I manage a facility" card to set up your own structure.

Creating a facility
3

Create your facility

Onboarding step 1 of 2

Give your facility a name (hotel, campus, building...) then tap "Create facility". This is the starting point of your whole location tree.

Creating a team
4

Create your team

Onboarding step 2 of 2

Name your first operational team, then tap "Create team". A unique invite code is generated automatically: you'll share it with your colleagues in step 9.

Administrator dashboard
5

Your dashboard

"Dashboard" tab, first tab at the bottom of the screen

An overview of open, in-progress, resolved and closed incidents, pending membership requests, and quick access to report an incident, view the full list, or scan a QR code.

Facility and location tree
6

Structure your locations

"Facilities" tab

Build your facility's tree: buildings, floors, rooms, zones. Tap the "+" next to a location to add a sub-location, the pencil to edit it, the trash can to delete it.

Generating QR codes for locations Sample of the generated QR codes PDF A sample of the resulting PDF: one QR code per location, ready to cut out and stick up.
7

Print your QR codes

"Facilities" tab → "QR codes" button at the top right

Generate a PDF with every location's QR code in one tap. Stick them up on site: your team can then scan one to report an incident with the location already filled in, as shown in step 11.

Managing incident types
8

Customize your incident types

Dashboard → "+ Report an incident" → pick a location → "Type" menu → "Manage"

Tailor categories to your business: equipment failure, guest complaint, housekeeping, security... Add, edit, or delete a type for each facility.

Pending membership request
9

Invite and approve your team

"Teams" tab → expand your team

The invite code is shown at the top: share it with your colleagues using the "Share" button. Every join request shows up under "Pending approval", with a green button to accept and a red one to reject.

Incident detail
10

Manage incidents

"Incidents" tab → tap an incident

Photo, exact location, type, GPS coordinates, comment history. Tap "Assign to..." to hand the incident to a member, "Start working" to take it on, or "Mark as resolved" once it's handled.

Notification preferences
11

Customize your push notifications

Profile → Notifications

The notification system is fully customizable. For each alert type (new incident, comment, status change...), you choose:

the scope (your incidents only or the whole team), a minimum priority, and a time window during which you're willing to be notified.

Tap "+ Add notification" to create a new rule, or the "X" to remove one.
CSV export of incidents
12

Export your data

"Incidents" tab → download icon at the top

Pick your filters (facility, status, priority) then tap "Request export". Generation isn't instant: it runs in the background, and you get an email as soon as the CSV file is ready to download.

Company information
13

Manage your company

Profile → Company

Update your company information (address, contact) and check your subscription plan.

👥 Member path

As a Member, you join an existing team and focus on reporting and following up on the incidents that concern you.

Joining a team with an invite code
1

Create your account and choose "I join a team"

After signing up and verifying your email, on the "How will you use INCILOG?" screen

Tap the "I join a team" card, then enter the invite code given by your administrator and tap "Join team".

Membership request pending approval
2

Wait for approval

Your request is sent to the team's administrator. As soon as they accept it, you get full access automatically (tap "Refresh status" if needed).

Member dashboard
3

Your dashboard

"Dashboard" tab, first tab at the bottom of the screen

An overview of your team's incidents, with quick access to report an incident or scan a QR code.

Incident report form
4

Report an incident

Dashboard → "+ Report an incident"

Title, priority, location (pick it from the list), type, description, photo, and optional GPS coordinates: everything the team needs to immediately understand the issue.

This is the regular way, no QR code to scan.
Scanning a location QR code
5

Or go faster with a QR code

Dashboard → "Scan a QR code"

If a QR code is stuck up in the room or area concerned, scan it: the report opens directly with the location already filled in.

This method is optional, it's just a shortcut to save time: the "+ Report an incident" button works perfectly well without scanning anything.
Read-only view of facilities
6

View your facilities and team

"Facilities" and "Teams" tabs

You can view the location tree and the list of your team's members, but only the administrator can edit them.

Customizing a notification
7

Set up your notifications

Profile → Notifications → "+ Add notification"

Just like the administrator, you set your own rules: event type, your incidents or the whole team, minimum priority, time window for receiving them.
